The transportation industry is in the middle of a transformation process through digitalization and electrification which is driven through new technologies, standards and regulations. The transfer of data and energy requires the intelligent interaction of vehicles with infrastructure and AI plays a key role to automate vehicle operation in a sustainable and smart mobility ecosystem. A major hurdle for automated vehicles is to manage the environmental complexity to move through traffic which is constrained through rules and highly dynamic stochastic processes and keep operational safety under control. 

Traditional vehicle development processes which were centered around human operated vehicles have to be replaced by new processes that consider machine operation. In order to make machine operated driving as safe or safer than human operated driving, new test and validation procedures in cyberphysical test environments need to be defined and standardized and anchored in national and international regulatory frameworks. Both people and goods transportation will benefit from the transformation towards a digital and sustainable mobility ecosystem through reductions of fatalities, injuries and health implications but also through efficiency gains such as less hours lost in traffic jams as well as prevention of security related outages. After a longer period of heavy investments in technology to develop connected and automated vehicles, it is now the time to consolidate those technologies through standardization and regulations, prepare and adapt the road, energy and digital infrastructure to deploy connected and automated vehicles services and to optimize and scale up certification processes for products and related infrastructure.

Submission Guidelines:

To ensure the integrity and quality of our conference proceedings, we kindly request your adherence to the following submission guidelines:

  • Abstract Length: Abstracts must be between 200 - 500 words.  
  • Full Paper Length: Manuscripts should consist of a complete description of the proposed technical content and research results. The maximum number of pages is 6 pages with an additional (2) pages allowed at $200 per page. Submissions that do not comply with this requirement may be subject to automatic rejection
  • Content and Quality: Each paper should indicate appropriateness for the scope of the Conference, originality, and quality of the technical content, whole organization, and writing style. The paper should, moreover, explain the significance of the contribution and contain a list of key references.
  • Paper Preparation: Manuscripts must adhere to the paper preparation guidelines provided below. Deviations from these guidelines may lead to the immediate rejection of your paper by the system.
  • Paper Revisions: In case of minor revision, papers are accepted only upon condition that the changes requested by the Reviewers are satisfactorily addressed by the Authors in the final submitted papers. Final papers may be rejected if the Reviewers' remarks have not been properly addressed.
  • Willingness to Present: Submission of a paper indicates your willingness to register and present the work, should it be accepted, for on-site presentation at the IEEE IAVVC 2025 conference.

Manuscripts will be fully reviewed, with the final decision made by the Technical Program Committee.  

All accepted papers presented at the conference will be submitted for publication to IEEE Xplore, reporting the following statement: “This full-text paper was peer-reviewed at the direction of IEEE IMS before the acceptance and publication”. Using the IEEE template is mandatory, and any variation from the IEEE template may lead to immediate rejection of your paper by the system.

Author Registration:

Authors of accepted papers must register for the Conference and attend to present their papers. The authors of papers presented during IEEE IAVVC 2025 will have the opportunity to submit expanded and extended versions of their papers to the Special Issue of IEEE Transactions on Instrumentation & Measurement on IEEE IAVVC 2025, scheduled for publication in 2026.

Each lead author must visit the EDAS website and establish an account with a username and password. Please follow these steps:

Visit https://edas.info/N32865 and click the New User button.

  • Create your profile. Only the five fields with the red asterisk are required. *It is very important that your name and affiliation associated with your EDAS account are correct and match the name and affiliation that will be listed on your paper. These fields are first & last name, affiliation (company or organization), country, e-mail address, and status. When the fields are filled in, check the Privacy Policies box and click the Add Person button. [note: if you select the USA as the country, you will get a message asking for your state]
  • You will receive an e-mail containing your password. Your email address and the given password must later be used to access the system during the following steps, so be careful to remember them.
  • You can then return to the EDAS log-in page (https://edas.info) and change your assigned password to one that is easier to remember. To do this, click on the My Profile tab, and then click on change your password. Be sure to record your username, password, and ID number for later reference.

Submission of Initial Full Paper

Please login to EDAS and follow the following steps:

  1. Type in the title of the paper and enter a brief abstract of your paper. Then select the topic area your paper falls under best. [note: This will help in choosing the reviewers. The PDF of your full paper will be uploaded later]
  2. Click the Submit button.
  3. The next page you see will have a large green check mark and a statement that the paper was registered. The last row says Initial Full Paper and has an icon of a blue cloud next to it. Click on this icon, and then you can upload the PDF of your Full Paper on the next page.

Initial Full Paper is used to refer to the PDF form of your full paper. You can also upload the paper by clicking the My Papers tab at the top of the screen, and then selecting the upload icon on the same row as the name of your paper. The upload icon (third column from the right) will open a dialog box that will enable you to select and upload the full paper file via the web or via FTP.
